The job

The event is yours. So is every loose end.

A producer carries the commercial risk. You need tickets to sell, sponsors to be happy, cash to arrive and the night to run. When any of those wobbles, it lands on you.

  • Sales that you cannot see until it is too late. You want to know which ticket types are moving while there is still time to act.
  • Fees and held money. A cut of every ticket, and a payout that arrives after the event, is a cash-flow problem you did not budget for.
  • Sponsors who ask, “What did we get?” A list of 400 names with no notes does not renew anyone.
  • A door that goes wrong in front of everyone. Slow check-in, dead wifi and a missing list are the problems people remember.
  • Paperwork you only find out about at bump-in. A lapsed certificate on the morning is the most expensive kind.
  • One person who knows how it all works. If that is only you, you cannot be ill on the day.

Eight weeks out: build the event

Create the event, add two or three ticket types, connect your payment account and check the shop on your phone. Set up your first event.

Six weeks out: go on sale

Open sales with an early-bird window. Give partners and community groups their own codes so you can see what each one returned. Choose your ticket types.

Four weeks out: sponsors and exhibitors

Offer lead capture seats and brief each stand on how to use them. Give sponsors leads they can use.

Two weeks out: people and paperwork

Collect inductions and insurance with expiry dates checked against your dates, and give your event manager what they need. Get inductions done.

Show week: rehearse the door

Put the scanner on your door team’s phones and scan a real ticket. Run the door on show day.

Show day: watch, do not chase

Door scanning keeps working if the venue wifi drops. Sales and check-ins show against the event, so you can see how the day is going from where you stand.

The day after: close it out

Export leads and send each sponsor a summary. Compare sales with your bank. Get paid: payouts and reconciliation.

Questions

What producers ask first.

Do you take a cut of my ticket sales?

No. There is no ticket commission on any plan. You pay a subscription, and Stripe’s card processing fee applies on any platform. See pricing.

Who holds the money?

You do. Buyers pay through Stripe Connect to an account in your name, so AdmitMe is never in the flow of funds. Your payout schedule is set in your Stripe account.

Can sponsors see my whole attendee list?

No. Each stand sees only its own leads, you set what details they can see, and the attendee’s consent is recorded with the scan. How lead capture shares data.

What if the wifi fails at the door?

The scanner keeps checking tickets on the phone and uploads the scans when the connection returns. It runs in the phone browser, so there is nothing to install from a store.

How big an event can I run?

Each plan has limits on organisers, events a year and tickets, shown on the pricing page. Larger events, venues and multi-site operators are an Enterprise conversation, and a person can talk it through.

Can I use my own web address?

On Pro, yes. Every plan gets a shop address of its own, such as yourname.admitme.io.

What happens when the trial ends?

If you have not added a payment method, nothing is charged. Add one in Billing in your Account before day 28 to keep your events live.
