The scanner is AdmitMe Scan. It runs in the browser on a phone, tablet or laptop, and installs to the home screen like an app. There is no store app to download. It keeps checking tickets when there is no connection and uploads the scans when the connection returns.
1. Decide who needs what
Door staff do not all need the same access. A door key comes in two kinds:
- Operator. Check-in only. Use this for volunteers and casual staff.
- Supervisor. Check-in and attendee search. Use this for the person who sorts out problems.
Your Scan key, in your welcome email, is the one you start with, and it has Supervisor access. You can make more keys in the console, on the Users page, and turn them off when the event ends.
Why it matters. Someone who only needs to scan should not be able to look anyone up.
2. Put the scanner on each phone
Open go.admitme.io/scan on the phone, then add it to the home screen.
- iPhone and iPad. Use Safari. Tap Share, then Add to Home Screen.
- Android. Use Chrome. Tap Install, or open the menu and choose Install app.
The scanner has its own install help on the first screen. Pair the key or sign in inside the installed app, not just in the browser, because the two keep separate storage.
3. Pair a door key
On the phone, scan the key’s QR code from the Users page of the console, or paste the key in. Organisers can also sign in with their own login instead.
Open your event in the scanner while you have a good connection. This downloads the event’s tickets to the phone, so it can check them even when the venue wifi fails.
4. Scan a real ticket, a few days out
Buy a test ticket in your own shop. Scan it on every phone you plan to use. Check that:
- the scan shows the right name and ticket type,
- a second scan of the same ticket says it is already checked in,
- the status line shows the number of tickets the phone holds.
If you scanned a test ticket and need it back in the pool, you can undo the check-in from the console.
5. Plan for walk-ups and problems
Decide, in writing, who handles each of these:
- Someone who bought but cannot find their ticket. A Supervisor key can search by name and check them in from the list.
- A ticket marked as already checked in. That can mean two people have the same ticket. Send them to your supervisor, calmly.
- Pay on the door. A ticket that is still owing can be checked in as paid at the door. The scanner records the payment when it uploads.
- Mistakes. After a check-in the scanner offers a short Undo.
6. On the day
- Open the scanner on each phone and look at the status line before doors open. It shows whether you are live or offline, how many scans are waiting, and when the ticket data was last updated.
- Keep the scanner in the default live mode. If a scan cannot reach the server, it is checked against the phone’s own copy and queued.
- Keep a charger or battery pack at each position.
- Keep one spare phone, already signed in.
7. If the wifi drops
Keep scanning. The scanner shows a banner and queues each scan on the phone. When the connection returns the scans upload on their own. Leave the app open until the waiting count reaches zero, because there is no background upload once it is closed. If you want to force it, use Sync now.
8. After the doors close
- Sync every phone and check the waiting count is zero.
- Look at the lists the scanner keeps for problems, such as tickets the server refused or tickets another door had already checked in.
- Check attendance and sales for the event in your Account’s analytics, or in the console.
- Turn off door keys you will not use again.
