How it works. A sponsor or exhibitor scans an attendee’s badge, marks the person hot, warm or cold, and adds a note. The scan records who took it and when. It works on a phone, queues scans when the stand has no signal, and uploads them when it returns.
1. Decide what you are offering
Lead capture is licensed per exhibitor, as an add-on, at US$195 per seat (tax exclusive). That puts the cost with the stand that gets the value. Organiser-side reporting and export are part of the platform. See lead capture for the full picture.
Decide whether you will include seats in a sponsor package, or offer them as an extra. Settle this before you brief anyone.
2. Decide what leaves your event
Lead data is the most sensitive thing an event produces. You set the scope:
- which details a stand can see,
- when they can see them,
- whether they can export.
Each stand sees only its own leads, and the attendee’s consent is recorded with the scan. That is your answer when someone asks how a stand got their details.
3. Switch it on with the Sponsor key
Your welcome email has a Sponsor key. It is what switches lead capture on for your event. The door scanner does not accept Sponsor keys, so your door team and your stands cannot be mixed up.
If you cannot find the email, ask support.
4. Try a scan yourself first
Use your demo event. Scan one badge, mark it hot, add a note and look at the lead afterwards. Ten minutes here means you can answer a sponsor’s first question from experience.
5. Brief the stand staff
Send each stand a short page, not the whole manual. It should say:
- Scan first. Scan the badge before the conversation moves on.
- Hot. Ready to talk about buying. Goes to sales the same evening.
- Warm. Interested, but the timing or the person is wrong. Goes into follow-up with the note explaining why.
- Cold. Took a pen. Still counted, and kept out of the sales queue.
- Add a note. “Wants pricing for 40, decision in March” is worth more than the other 399 names.
- No signal? Keep going. Scans queue and upload later.
6. During the event
Stands can see their own live lead list. Sales managers can follow it from the office on the web app, and edit notes after the conversation. Exports to Excel or CSV are available during the event, so follow-up can start on the day.
7. After the event
Export across every stand for your own reconciliation. Send each sponsor a short summary of what their stand captured. The stands that can prove pipeline are the ones that rebook.
